Main purpose of the role:
Provide a proficient administrative service to the Intelligence unit, to ensure the knowledge and information is accessible to support operational policing activities providing a professional, effective and efficient service delivery to the service users force wide and to support the strategic priorities and objectives of Essex Police.
Provide a comprehensive efficient and effective administration service to the intelligence unit, operate a reception facility for the department, when required attend meetings and take actions, ensure all incoming emails are responded in a timely manner and where appropriate escalate complex enquiries appropriately ensuring that standards in customer service are maintained.
Organise and maintain administrative systems and procedures to ensure that documentation, information and files both manual and electronically stored can be appropriately and readily retrieved at any time in order to increase the efficiency and effectiveness of the team.
Undertake enquiries on various databases and Internet to obtain information at the request of Operational Officers and enhance/complete AIU Intelligence products. These systems include Experian, ANPR (Automatic number plate retrieval system), Prison Intelligence System (PINS), PNC, PND (Police National Database), STORM and open source research via the Internet. Administration of STOPS process and CCTV website. Conversion of Prison and incident information into Intelligence Report input on Essex Intelligence System, to ensure that the information is accessible to support operational policing activities.
Facilitate enquiries within Force or outside Agencies and where appropriate disseminate relevant information ensuring that there is compliance with legislation and policy requirements relating to the handling of Intelligence within an intelligence unit, such as Management of Police Information (MoPI) and the Government Protective Marking Scheme (GPMS.)
Organise and prioritise own workload on a daily basis, responding to urgent requests as they arise, in order to anticipate and meet changing demands. Attend training courses and deliver informal training when required; maintain up-to-date knowledge of legislation, policy and procedure. Undertake other reasonable duties as required from time to time.
Management Vetting required.
The post holder must have good standard of education to GCSE level. Good interpersonal, team working, verbal and written communication skills are essential, as is proven administration experience and the initiative and ability of dealing with sensitive and confidential information, in particular in accordance with the management of police information, and knowledge of data protection, are essential given the nature of the role.
The post holder will be able to prioritise their own workload to meet deadlines. They will be trustworthy and reliable and have an organised and methodical approach together with strong organisational skills and significant attention to accuracy and detail.
Knowledge of the Essex Police environment particularly in relation to the intelligence arena would be desirable. A thorough working knowledge of Microsoft Office products including Outlook and Word is essential.
Working knowledge of Police National Computer (PNC) and Police National Database (PND) would be desirable although training can be provided.
This post is deemed to be a designated post.
Vetting clearance is a pre-requisite of employment in designated posts and the post holder will be subject to management vetting assessment every 7 years. National security vetting clearances are reviewed every 10 years.

Mgmt of Police Information (MOPI) (Level 4)
Full compliance with Level 3. Has successfully completed all standard relevant Information Management and Security training package(s). Accurate use of Government Security Classification (GSC). Ensures physical and digital records are stored with appropriate security relevant to the sensitivity of the documents and has working understanding of appropriate National Retention Schedules. Is able to quality assure own records management processes as well as those of any staff for whom they have supervisory responsibility. Is aware of where to seek further support in relation to Records management within force when necessary. If nominated as an Information Asset Assistant is familiar with the NPCC Information Asset Owners Handbook.
Office Organisation (Level 3)
Has a good understanding of office routines and procedures, and possesses skills in planning, organising and monitoring work. Understands record keeping, filing and data storage systems, and can ensure that information is stored accurately / logically, within Force guidelines. Able to organise the provision and storage of office supplies, stationery and consumable items etc. to ensure that appropriate stock levels are maintained. Able to undertake basic research and supply information in a well presented manner. Can draft and prepare routine documents.
Office Technology (Level 3)
Able to utilise relevant Force standard office software products such as word- processing, spreadsheet, database, presentation and desktop publishing packages to a standard that matches the requirements of the current role in terms of quality and speed. Can operate other items of essential office technology such as photocopiers, facsimile machines, answerphones, shredders, in order to effectively undertake the requirements of the current role. Aware of the implications of Data Protection and acts appropriately in this respect.

Demonstrates an awareness of personal risk management issues, challenges or difficulties likely to affect the post holder in the execution of their duties.
