Main purpose of the role:
Provide an efficient and effective personal secretarial service to the Management Team, providing a range of administrative support and work of a confidential nature, in order to assist with the effective management of the Division.
Provide a full range of secretarial services to the management team, including word processing, shorthand and audio, drafting letters of acknowledgement and producing correspondence, in order to provide full secretarial support to managers. This will include providing ad-hoc support on rare occasions for multi-agency county emergencies specifically, providing administrative support for meetings, actions and auditable documentation.
Respond to telephone calls on behalf of the management team, resolving queries wherever possible, taking messages and referring on as necessary, responding appropriately to telephone enquiries and complaints from members of the public and exercising considerable discretion to ensure that confidential information is not divulged.
Co-ordinate and maintain the diaries of the management team, making appointments and other engagements, ensuring that managers are appropriately briefed on their commitments at all times.
Organise meetings on behalf of the management team, preparing all paperwork and files beforehand, distributing agendas, minutes, reports and other documentation as necessary, in order to ensure that all participants are prepared. This will include attending meetings and taking minutes as required.
Open all incoming post, distributing appropriately, linking with background papers and information wherever possible, and drafting replies where appropriate, in order to support the work of the management team.
Manage and maintain effective filing systems, including managing the security of Secret files as required, ensuring that these are appropriately stored to maintain the integrity of Force and National security and that all papers can be found quickly when required, assisting in the smooth operation of the Division/Directorate.
Develop and maintain systems to ensure that managers complete those actions identified for them, checking and providing reminders to ensure that each action is completed in an organised and efficient manner.
Manage the day to day work of the secretariat, allocating work and balancing priorities/ skills as required, assessing and prioritising work on an ongoing basis, in order to ensure the provision of high quality, accurate and timely support services to senior managers.

The Personal Assistant is required to organise and prioritise their own workload and therefore requires strong organisational skills, together with the ability to work independently and under pressure. An essential requirement for the personal assistant is previous secretarial work experience of around two to three years, with experience of setting up and running a range of administrative and office systems and the ability to adapt and improve these systems to meet the changing needs of the Division/Department. They should have previous experience of supervising staff to achieve demonstrable results with the ability to monitor work and motivate allocated members of staff.
As the first point of contact for the management team the post holder must have effective communication skills, self confidence, tact and diplomacy and a good telephone manner. The role requires initiative and judgement to respond to and deal with problems sensitively and confidentially as they arise without the need for support.
Fast, accurate word processing skills, audio and shorthand are required, together with a high standard of grammar and spelling. The post holder must have experience in a range of Microsoft Office products, including Word, Excel and PowerPoint, together with e-mail, scheduling software, the intranet and the internet.
A good general level of education ideally to -A- level standard, with a GCSE or equivalent level pass in English language, is essential.

Management of Police Information (MOPI) (Level 4)
Full compliance with Level 3. Has successfully completed all standard relevant Information Management and Security training package(s). Accurate use of Government Security Classification (GSC). Ensures physical and digital records are stored with appropriate security relevant to the sensitivity of the documents and has working understanding of appropriate National Retention Schedules. Is able to quality assure own records management processes as well as those of any staff for whom they have supervisory responsibility. Is aware of where to seek further support in relation to Records management within force when necessary. If nominated as an Information Asset Assistant is familiar with the NPCC Information Asset Owners Handbook.
